1Who we are
MWAFEM is organised by Kisangara Tours Ltd, Plot No. 48, Block No. 21 Colonel Middleton Rd, Arusha, Tanzania. We are responsible for the information you give us on this website. You can reach us at info@mwafem.com or +255 755 002 886.
2Information we collect
We only ask for what we need to organise the event safely:
- Registration: first and last name, email, phone number, date of birth, gender, nationality category, country, ID or passport number (optional), chosen race, participant type, T-shirt size, kit collection point, emergency contact name and number, and voucher code if you have one.
- Payments: whether you have paid, the payment method, the payment reference, the amount, and which staff member confirmed it. We never receive your mobile money PIN, bank login or card details.
- Messages: your name, email, phone and message when you use the contact, partnership or volunteer forms.
- Newsletter: your email address and preferred language.
- Technical information: your IP address is kept for a few minutes to stop repeated or automated attempts; anonymous visit statistics (no advertising cookies); and a cookie that remembers your language.
3How we use your information
- To register you, give you a registration ID and prepare your race number and kit.
- To work out your entry fee (it depends on your age, participant type and nationality category) and to confirm your payment.
- To contact you about the event: payment, kit collection, schedule changes and safety information.
- To call your emergency contact if something happens to you on race day.
- To let you check your registration with your name and phone number. This check shows only your registration ID, race and payment status — never your other details.
- To answer your messages and, if you subscribed, to send you event news.
- To plan the event and produce overall statistics (for example the number of runners per race), which never identify you.
4Who can see your information
We do not sell or rent your information, and we do not give it to sponsors or partners for their own marketing.
- Authorised MWAFEM staff (moderators and administrators) see registrations and messages through a password-protected dashboard. Every payment change is recorded with the name of the staff member who made it.
- Service providers that run the website for us: Supabase (database), Vercel (website hosting and anonymous statistics) and our email provider. They may only use the information to provide their service to us.
- If results are published, they show your name, race, category and time.
- Authorities, if the law requires it or in a medical emergency.
5Photos and video
The event is photographed and filmed. Pictures may appear on this website and our social media to report on and promote the event. If you do not want a picture of you to be used, contact us and we will remove it where possible.
6Where your information is stored
Our service providers may store information on secure servers outside Tanzania. We only use providers that protect it with encryption and access controls.
7How long we keep it
- Registrations and payment records: up to 2 years after the event, so we can answer questions and keep financial records, then they are deleted or made anonymous. Some payment records may be kept longer if the law requires it.
- Messages: up to 1 year after they are answered.
- Newsletter: until you ask to be removed.
- IP addresses used to stop repeated attempts: a few minutes.
8How we protect it
The website uses encrypted connections (HTTPS). Information is stored in a protected database where each staff role can only do what it needs to, and staff accounts are personal. Registration IDs are random, so they cannot be guessed to look up someone else.
9Your rights
You can ask us to show you the information we hold about you, correct it, delete it, or stop using it for news. You can also withdraw your consent at any time — this does not affect what we did before. Contact info@mwafem.com or +255 755 002 886 and we will reply as soon as possible. If you are not satisfied, you may complain to the Personal Data Protection Commission of Tanzania.
10Children
Participants under 18 must be registered by a parent or guardian, who gives the information and agrees to this policy on their behalf.
11Changes to this policy
We may update this policy. The date at the top shows the latest version; important changes will also be announced on the website.
